Postal Services at UNF

 

海角社区Postal Services is dedicated to the timely processing and delivery of U.S. mail, internal campus mail, and related services. 海角社区Postal Services provides an essential link, ensuring the efficient flow of mail between the U.S. Postal Service (USPS) and the campus community while maximizing cost savings to the university by focusing on automation and education of users.

海角社区Postal Services processes many classes of mail, including, but not limited to:

  • First-Class letter, Large Envelopes (Flats) and Parcels
  • Certified Mail or Return Receipt
  • Priority Mail 2 and 3 Day
  • Media Mail and Library Mail
  • Insured Mail and Delivery Confirmation
  • Non-Profit Bulk Mail
  • International Mail (Conformed to USPS Regulations)

Mail Drop Off Schedule

海角社区Postal Services delivers mail to the U.S. Post Office several times throughout the day with the last delivery leaving at 4:15 p.m. Any mail received after that will be held for delivery the following business day.

You can also drop off mail in Lassiter Hall, Building 8, Room 1100 Business Services Office.

Postal stamps can be purchased at the UPS Store (Lassiter Hall 8).

Preparing U.S. Mail

Addressing Business Mail

Proper addressing insures timely delivery. To assist us in processing your mail efficiently, please use the information on address formats and placement when addressing your mail found here. 

 You will get the best possible service if you:

  • Capitalize everything in the address
  • Use two-letter state abbreviations
  • Eliminate all punctuation
  • Use common abbreviations
  • Use ZIP+4 Codes

Make sure the place where you want the mail delivered appears on the line immediately above the city, state and zip code line; ie., 123 MAIN ST STE 400 or PO BOX 125. If both the street address and the PO Box on the same line, the mail piece will be delivered to the PO Box. 

Enclosures

Correspondence

Mail of any kind for transport by USPS should be enclosed in an appropriate envelope or parcel and sealed. The types of enclosures determine the mailing classification. Please remember to include a Postage Memo Slip with outgoing 海角社区mail.

  

Non-Mailables

Items such as metal pieces, glass parts, product samples, chemicals, etc. cannot be mailed in envelopes. In addition to jamming and/or damaging the mailing machines, these items can also cause serious injury to employees in the mailroom. They require special packaging before mailing or shipping. 海角社区Postal Services will be able to determine the most appropriate handling method.

Shipping Hazardous Materials (HAZMAT)
Hazardous materials are substances that could injure people or cause damage if not handled properly, like chemicals or flammable items. HAZMAT also includes lithium batteries (like the ones in cell phones and electronics). Please contact Postal Services prior to mailing out hazardous Materials.

 

  • Envelopes and cards whose pieces are more than 3 1/2" in height, 5" in length, or.007" in thickness (the thickness of a postcard) are also classified as non-mailables and may be returned to the sender.
  • Envelopes with logos or seals covering the "Barcode Clear Zone" will most likely be returned to the sender.

 

All foreign countries also impose various restrictions depending on the country and item(s) being mailed.

It is recommended that when mailing questionable items to U.S. or foreign destinations, the mailer should call 海角社区Postal Services for assistance at (904) 620-2935.

 

Window Envelope Enclosures

Enclosures that are designed so the address appears in the window should not be stapled to prevent movement of the address from the window view. If the addressed enclosure does not properly fit within the window, use an envelope without a window.  

Envelopes 

Envelopes may be sealed or unsealed when given to 海角社区Postal Services. Unsealed envelopes will be sealed as they are processed through postage meters. However, the department should seal large, bulky envelopes with end openings since these envelopes cannot be sealed by postage meter machines. If you have questions about bulky mail envelopes being fed through the postage meter, call 904-620-2935, and someone from the Ricoh Support Team will be able to assist you.

Parcels

A corrugated carton must be used, with old addresses removed. Make sure that the contents are packed with plenty of cushioning. Address information should be typed or machine-printed on an address label and placed in the center of the box. Use a filament-reinforced tape to seal your package (Scotch Tape and Masking Tape are NOT acceptable).

Postal Memo Charge Slips

Postal Charge Memos are required in order for 海角社区Postal Services to process your mail. The form is completed by the mailer and must accompany the mail to 海角社区Postal Services. 

Preparing Interdepartmental Mail

Interdepartmental Mail

Interdepartmental mail consists of regular correspondence being picked up and delivered between on-campus departments. It does not include the pick-up and delivery of heavy books or large packages intended to go from one department to another. Interdepartmental mail is picked up twice a day. Morning pick-ups are delivered in the afternoon, and afternoon pick-ups are delivered on the morning route the next day.

Addressing Interdepartmental Mail Envelopes

These are envelopes used repeatedly for internal mailings. When using interdepartmental envelopes, make sure all previous markings have been clearly marked out to ensure proper handling and direction for the next intended recipient. To provide proper delivery, internal mail requires the full name of the recipient and department. If a department is not included in the address, it will delay delivery.

Some people have used manila envelopes, but they are only good for one-time use. Please remember that the same rules apply: address the recipient and department. Interdepartmental mail envelopes are recyclable. When your envelopes become tattered, your department can order more through your office supply vendor. Slightly used ones can be provided upon request at no cost by calling (904) 620-2935.

Addressing Parcels Properly

Correspondence to students must be separated from U.S. Mail and interdepartmental mail. To ensure your mail is delivered efficiently and in a timely manner, it is best to type the address on your envelope or print out a label. In short, it must be legible.

  • Name of student
  • Student address, House box number
  • Jacksonville, FL 32224-7634

海角社区Mail & Packages

Interdepartmental Mail

Interdepartmental mail consists of enveloped correspondence between 海角社区departments. Mail between 海角社区departments should be placed in reusable interdepartmental envelopes, not white envelopes, to reduce the cost of departmental mailing supplies and eliminate the possibility of accidentally applying postage. The interdepartmental mail service does not include the pickup and delivery of any books or large packages from one department to another. Departments must call 海角社区Postal Services at (904) 620-2935 when they have a large amount of mail.

Change of Address

A change of your internal location must be acted upon promptly. As soon as you learn of your new location, be sure to contact your department secretary or office manager so they can update your information in the 海角社区Directory.

Monday - Friday

8:00 a.m. - 5:00 p.m.

 Department mail with charge memos accepted until 3:30 p.m.

How to Track Your Package

On Campus Tracking

All FedEx, DHL, UPS and Airborne Express accountable packages are handled through Central Receiving. Should your department need to use any of these services for outgoing mail, please contact Central Receiving regarding packages at (904) 620-2869.

If it is outgoing or incoming department mail contact Mike Trotter or one of his staff in Central Receiving will be able to assist you.

 

UPS Tracking with the 海角社区UPS store

All mail being sent through the 海角社区UPS store has a tracking number and a web address to track the product. Additional tracking options are offered through UPS. You can contact a 海角社区UPS representative at 620-4800 for more information or visit their website.

Tracking a USPS package

海角社区Campus Postal Services has several options to track a package:

  • Certified Mail or Return Receipt
  • Priority Mail 2 and 3 Day Delivery Services
  • Insured Mail and Delivery Confirmation

With the information from any of the above postage services, you can track the package on the US Postal Service website.
