Request to Recruit & Fill

All positions, unless exempted (see list below), must be approved to fill a position prior to an active recruitment and/or submission of a departmental promotion or search waiver request. The request to recruit & fill process has been integrated within three areas: the OASys position management (PD) module, the OASys applicant tracking system (ATS) module, and the Departmental Promotion request online form.

Departments who wish to fill a vacant position by promotion of an existing employee can simply submit a Department Promotion Request online form found in myWings. 

Departments who wish to recruit for a position that has no updates or changes need only to create their recruitment request (posting) in the OASys applicant tracking system module and submit for approval.  If a position needs updating or reclassification before it is posted, a position description modification action in the OASys position management module is required prior to submittal of a posting. 

Departments who will not be recruiting for their position through OASys (i.e., search waiver requests, cluster hiring, etc.) will need to submit a request to fill through the OASys Position Management (PD) module. 

Request to Recruit & Fill Exemptions 

The following positions are exempt from the request to recruit & fill process:

  • Faculty positions
  • Contract & grant (C&G) funded positions, where the individual is named in the contract
  • Positions as approved by Human Resources on a case-by-case basis
